  • When you book: the above, plus contact details for the person on site, billing details, information we need to access the property (such as key handover) and payment details.
  • During a shoot: for real estate work we photograph the property and do not normally photograph people. If people appear in a hotel film or similar work, we agree this with the client beforehand.
  • When you visit this site: access information such as IP address, browser type and the date and time of your visit (server records).

3. How we use it

We use personal information only for these purposes.

  1. Answering enquiries and preparing and sending quotes.
  2. Providing our services: scheduling, shooting and delivering files.
  3. Invoicing, confirming payments and other transaction administration.
  4. Telling you about our services and about changes to them.
  5. Improving our services and planning new ones, using statistical information.
  6. Meeting legal obligations and resolving disputes.
  7. Running this site securely and preventing unauthorised access.

4. Sharing with third parties

We do not give personal data to third parties without your prior consent, except where the APPI or other laws allow it. Sharing data with the service providers described in section 5, or as part of a merger or other business succession, is not treated as provision to a third party.

5. Service providers

We use outside providers for customer management, email and website delivery, and they handle personal data on our behalf only as far as needed for those purposes. We choose providers that handle personal data properly and supervise them as required.

6. Providers outside Japan

We use cloud services run by the following companies outside Japan, and personal data is stored and handled in them.

  • United States: no comprehensive federal privacy law; sector-specific federal laws and state laws such as the California Consumer Privacy Act (CCPA). The United States takes part in the APEC CBPR system.

For more detail, see the Personal Information Protection Commission's page on laws in other countries and regions (in Japanese).

For Google LLC and Cloudflare, Inc., we have checked through each company's terms and data processing terms that they have systems in place to keep taking measures equivalent to those the APPI requires of businesses. We check this, and whether any foreign law could affect it, regularly, and if you ask we will give you information about these measures as the law requires.

For Studio Ninja Pty Ltd, we provide personal data on the basis of your consent. Please read this section 6 before you send the enquiry form. By sending the form, you agree that your enquiry will be handled in Studio Ninja's services in Australia (including its own providers). Studio Ninja's privacy policy describes how it protects personal information, and we can also tell you about it on request.

7. How we protect personal data

We take these measures to prevent personal data being leaked, lost or damaged.

  • Policy: this privacy policy sets out how we handle personal data.
  • Handling rules: we set how personal data is collected, used, stored, shared and deleted, and who is responsible at each stage.
  • Organisation: we appoint a person responsible for personal data and keep a reporting process for any incident.
  • People: everyone who handles personal data is told how to handle it.
  • Physical security: we protect devices and papers holding personal data against theft and loss, and encrypt data that leaves the office.
  • Technical security: we limit who can access personal data and protect accounts with password management and two-step verification.
  • Understanding the environment abroad: personal data is handled in the services of the overseas companies listed in section 6, and we take measures with each country's laws in mind. With some cloud services, the country where the server storing the data sits cannot be identified. Our directors and staff may also handle personal data while working in New Zealand, where the Privacy Act 2020 applies.

8. Your requests

You or your representative can ask us to tell you the purpose of use of personal data we hold about you, to disclose it (including records of any provision to third parties), to correct, add to or delete it, to stop using or erase it, or to stop providing it to third parties. We will confirm your identity and respond without delay as the law requires. Send requests by email to the contact in section 12. We may ask for official identification to confirm your identity, and an agent should also provide a document showing their authority, such as a letter of authorisation. There is no fee. We will disclose information in the way you choose, including electronically by email; if that way would be very costly or otherwise difficult, we will provide it in writing.
